Managing Stock Items

Stock items (or articles, or spare parts) are managed in a per location way. You can find a stock item by opening the related location in the location tree or you may use the search function for finding an entry in the database if you are uncertain about the location of an article.

 

Beside the typical functions adding, modifying and deleting stock items in terms of maintaining the stock control database you have also features for the day-to-day work.

 

Extended Article Details

 

If required, the system can manage for selected articles extended details like extended location info (if an article is stored at more than one location), separate serial numbers per article and expiry dates. After clicking the Edit Details button, you can start adding additional details for the selected article.

 

As soon as the collection of extended details was started for a selected article, all quantity information will be taken from the extended details. Changing the quantity values in the details view will automatically update the total quantity for the article.

 

Please note: This feature is available only for consumable articles. This feature is not available for licenses that have also the Purchasing module activated.

Quantity Adjustments

 

There are many ways of how the quantities of stock items can be managed in the system:

 

1.Manual adjustments by using the Edit function.

2.Automatic adjustments by reporting spare part usage in a maintenance report.

3.Automatic adjustments by reporting the delivery of previously ordered articles.

4.Manual adjustments by creating an exception report.

 

The availability of these features highly depends on the company's policy about quantity tracking. In some companies the manual adjustment is not allow and the usage of exception reports will always be required for adjusting differences in the stock's quantities.
