Transferring changes to other sites

The following procedure is required only if no automatic data replication has been configured.

After starting the Replication module you will see a list of sites you can send data updates to. On board of ships or in side offices you will usually see only the head quarter as the only available choice. Check all sites you want to send and update to and choose the data to be included in the transfer.

There are two main transfer options:

Standard transfer without documents: Many parts of the ZeeBORN system allow the attaching of additional files (e.g. adding photographs to a maintenance report, all document files managed in the Documents module, scanned copies of invoices attached to invoice entries in the Invoice Registration module). As there is no real control over the size of the attached files, the standard data replication concentrates on database entries only.

Transfers including documents: From time to time you may want to replicate also all document files managed in the system. Due to the usually larger size of data replication packages including document files the Replication module provides the option Include documents. As soon as this option is selected, the data replication module will check the last date when document files have been sent and will include all new or modified files in the new replication package. Instead of the normal transfer via e-mail or a direct Internet connection you may want to choose the transfer on an USB stick for transferring the data.

Transfer Types

Regular Update: Regular updates just check the date of the last transfer and will create replication packages with all the data that have been newly created or modified after the last transfer. This is the transfer type you will use most of the time.

Full Transfer: In some cases it could be necessary to transfer all the data available to a site. Usually you will need to send a full transfer to a site if this site has been installed for the first time (this transfer type will be used automatically by the Replication module if no transfer has been sent before). Another situation where a full transfer can be necessary is the restoration of lost data on a damaged PC.

Recover: The recover option can be used in cases where you detect missing transfer packages. A typical example is a data replication package that got lost while sending it via e-mail. Usually you will detect a missing replication package while trying to import a newer replication package. The import tool detects the missing replication package and will provide as a information what date shall be used for requesting a recovery transfer. When using the Recover mode you will also need to enter a date that will be used to find all new entries and changes in the system that have been added after this date.

Sending Transfer Packages

While using the Replication module in manual mode, only the replication packages will be created after clicking the button Create Package(s). After clicking the button Open Export Folder the Replicator module will open the export folder in Windows Explorer. At this stage you are free to decide how you want to transfer the replication package(s)
