Please note: All reports can be created only on the vessels.
You have to choose if you want to enter ship defect report or other.
Ship Defect
You can either select a component directly from the maintenance system (if available, if not the field will be disabled) or enter a title. Please fill in all relevant data.
Other Report (for instance near miss, accident)
First you have to select type of report you want to enter. Depending from your choice and the company configuration several forms will appear.
Data
All available details under tab Details have to be filled out.
Most entry fields in the form provide a pre-defined list of values to be used for the report creation. In most cases the values available in these lists can be defined in the systems configuration.
If the reporting person is different to the logged in user, the name can be filled in under “Enter Name”.
Additional document files and photographs can be added under tab Attachment.
Depending on the company configuration for near miss and/or accident you have to add corrective/preventive actions as free text on the tab Final or as single tracked item.
Accident reporting forms contain an additional tab Accidents for collecting all occurred damages and personnel accidents.
Approval on board
Once you collected all necessary details you have to approve the report.
If the ship approved the report, it will no longer appear in the open folder – you find the report now in the approved folder of the current ship. No further adjustments are allowed on board.
Please note: With the regular data transfer all recorded, not approved reports are visible in the office, but read only. They are marked in the office as OoB (Open on Board).
Only SDR can be sent via a special data transfer (immediate sending of reports with bypassing the regular data transfer), for further action on office side.
